[A] Scope of Service:
1) The service should be provided on site and will include supply and support of:
(i) PCs and Scanners for scanning documents and uploading documents in SAP
(ii) CD / DVD writers for backup
(iii) operating staff for document collection & preparation, scanning, uploading into SAP and verification, administering backup and recovery procedures. For A3 and A4 size documents, the scanning service will be onsite. For larger sized documents, the scanning service can be done offsite.
2) Collecting the document from the relevant department
3) De-binding, de-pinning, de-stapling, and removal of documents from files/ folders, Straightening, Mending etc.
4) Scanning the document with the relevant document name based on the parameters specified on the document or instructions given by the department.
5) Uploading the scanned document against the relevant transaction in SAP.
6) Enter data into templates for batch uploading.
7) Volume: The estimated number of documents is likely to be around 15 to 20 Lakhs per year.
