[A] Scope of Service:
1) Free pick-up of boxed files from the Department of Finance & Budget related storage areas. Contractor must co-ordinate pick up of boxes which may be as many as 26 boxes at one time.
2) Prep pages for scanning, i.e. all staples and other paper fasteners will be removed from the file and checked that pages are not excessively wrinkled, torn or otherwise damaged.
3) Quality controlled scanning operation by experienced staff to scan, index, and duplicate approximately 180,000 Accounts Payable images, 30,000 Payroll images, and any other documents yet to be identified, front (and back if necessary). Documents predominately 8 1/2 by 11, but there may be some store receipts and other odd sizes.
4) Index data will be check number and date for AP documents; payroll date and department for payroll documents, or other data fields as identified. There are approximately 17,000 documents requiring indexing in the 180,000 AP images. All payroll images must be indexed.
5) Convert scanned images to compact discs using .pdf files and organizing in a .mdb database.
6) Turn-around time should be 90 days or less from receipt of purchase order to receipt of the CDs.

Performance of the work will be Offsite. Vendor needs to carry work in their office location.
